Use this before a planning call or proposal request.

1. Audience

Identify the primary audience, age range, program, and experience level.
Estimate the number of participants.
Note any accessibility, language, or technology needs.

2. Outcomes

Write one sentence describing what participants should understand or be able to do.
Identify the financial decisions or challenges most relevant to the group.
Decide whether knowledge change, engagement, confidence, or action planning is the main priority.

3. Format + Timing

Confirm the date or planning window.
Confirm time available and whether it is one session or several.
Choose in-person, virtual, or hybrid delivery.
Note room setup, screen, audio, internet, and microphone availability.

4. Content

Select priority topics or describe the audience need if topics are not yet clear.
Identify any program theme, required learning objective, or client language to incorporate.
Decide how interactive the experience should be.

5. Materials + Measurement

Decide whether participants need handouts, workbooks, digital takeaways, or giveaways.
Decide whether a pre/post quiz, live knowledge check, feedback survey, or client recap is needed.
Confirm who will collect participant information, if any.

6. Budget + Logistics

Identify the approved budget, funding source, or quote requirement.
Confirm travel, parking, lodging, venue, and vendor requirements when applicable.
Identify the primary program contact and day-of contact.
